Installing ClikMemo

If you are updating from a previous version of ClikMemo you can either use the latest patch from the Downloads section of the website (you can only do this if you have version 1.74 or later) or download the latest complete setup package (clikmemosetup.exe). If the latter, then you should uninstall the older version first, using the Add/Remove Programs applet in the Control Panel. Any users, groups, registration codes and messages will NOT be lost.

Before installing ClikMemo for the first time it is recommended that you create a shared mailbox folder first. Please go to www.clikmemo.com/html/installing_clikmemo.html for full details of how to do this.

Installing From Downloaded ClikMemoSetup.exe File:
Download the file to any folder of your choice. Run it by double-clicking it from within Windows Explorer or by Selecting Run… from the Start Menu. It is recommended that you accept the defaults for the location of files during installation.

  • Installing From CD:
    Insert the CD in your CD or DVD drive and it should automatically start the ClikMemo installation program. If it does not do so then select Run… from the Start Menu and enter X:\clikmemosetup.exe where X is the drive letter for your CD or DVD drive. It is recommended that you accept the defaults for the location of files during installation.

Registering ClikMemo

  • Users of Registered Versions 1.65 or Earlier:
    When first installed on a network, ClikMemo will be in its unregistered 3-user state. This will be the case even if you have been using a fully registered previous version (1.65 or earlier). If you have been a registered user then you will already have been sent your new registration details. On any workstation running ClikMemo go to the File menu and select Register… and enter the User Name and Registration Code carefully into the boxes (pay particular attention to upper- and lowercase). This only needs to be done once and the whole network is registered. Other copies of ClikMemo on the network will have to be restarted to update their status.
     
  • New, Unregistered Users:
    In its unregistered state ClikMemo is fully functional, but limited to 3 users and groups. If this is enough for you then you are welcome to use the program free of charge and freely distribute it to anyone. However, when registered, you can have up to 50 users and groups.

    To register ClikMemo visit the website at
    www.clikmemo.com and click on the Register link. This will give details of how to pay and obtain your User Name and Registration Code. When you have received these go to the ClikMemo File menu and select Register… and enter the User Name and Registration Code carefully into the boxes (pay particular attention to upper- and lowercase). This only needs to be done once and the whole network is registered. Other copies of ClikMemo on the network will have to be restarted to update their status.

Setting Up Mailboxes

In order for ClikMemo to work as a network messaging system, each ClikMemo user should have full access to a shared folder or directory on the network. This folder should be created before installation of ClikMemo on any PCs on the network. For example, on my network the shared folder is called 'ClikMemo' and resides on drive F. Your network administrator should be able to create an appropriate folder and ensure that all users have full access (i.e. they can create and delete files and folders within it)

Within this folder ClikMemo will automatically create separate folders for each user, which will contain the mail messages for those users. The shared folder also contains the files 'users.dat', 'groups.dat' and 'calendar.dat'  (and register.dat for registered installations of ClikMemo), which are simple text files listing the users, groups and calendar data. These files are created by ClikMemo and should not generally need editing directly.

When run for the first time on the network ClikMemo will ask you to tell it where the shared folder is and then to set up users and groups. Every subsequent installation will then simply need to be told the location of the shared folder, and will immediately load the user and group data already created.

If users let their In Box get very full, by not deleting old messages, they may notice some slowing of ClikMemo's performance. ClikMemo will warn users if their In Box is getting too full and suggest they use the archive facility to tidy things up.

For simplicity I have deliberately not allowed the creation of folders for storing old messages. If users want to keep old messages other than in the Inbox, they should use the archive facility to copy messages to a word processor document.

Users can be logged in on two or more computers at once, with the same user name. However, only the first of those machines to spot a new message will present it to the user, so the chances are he or she will miss some messages - I would recommend not logging in to ClikMemo with the same logon on more than one machine. In a situation where many machines are shared by many users it might be best to make the user names correspond to computers rather than users: eg. reception1, staffroom, etc.

If for any reason ClikMemo seems to get confused, try deleting the settings.dat file on the offending computer (in the folder ClikMemo installed to, usually C:\program files\Clikmemo). Next time it is run after that, you will have to tell it again where the shared folder is.

Update Version 1.76

  • The maximum number of users and groups has been extended to 80.
     
  • A bug in the ‘Add User’ routine of the Maintenance Module meant that if a User Name beginning in lower case was added this would cause duplicate names in the user list to appear. This has been fixed by forcing all User Names to begin with a capital.
     
  • The Maintenance Module now shows a user count.

Update Version 1.75

  • The problem of Windows XP/2000 not mapping its network drives before ClikMemo starts has been solved. ClikMemo now waits up to 10 seconds for the drives to be mapped before asking the user to tell it where the Mailbox Folder is.
     
  • New installation routine.

Update Version 1.74

  • The list of calendar entries can be filtered by clicking on individual dates in the three-month view. A button has been added to allow resetting of the list to show all entries.
     
  • A yellow envelope icon appears in the System Tray (next to the clock) when there are unread messages in the In Box
     
  • Users can turn off the ‘New Message’ dialog box, and rely instead on the System Tray icon and the beep made when a new message arrives to inform them of its arrival.
     
  • ClikMemo can be set to automatically minimise when it is not the current window.
     
  • The selected message no longer reverts to the first in the list after marking a message as read, or deleting it.
     
  • Lists of users in the drop down list boxes of the Send Message dialog and the Change User dialog are now sorted alphabetically.
  • The Change User dialog is now set to be ‘always on top’ so users should not find it obscured on startup by other programs

Update Version 1.71

  • An archiving and batch deleting facility has been added, allowing users to more easily keep their In Boxes tidy. Messages are archived to a file called archive.rtf in their mailbox folder, which is readable by all word processors.
     
  • Proper program licensing implemented. This allows users to download a demo version from the website, and then later fully license it (switching it from 3 to 50 users) by simply entering a User Name and Registration Code on one workstation. This means users do not have to reinstall to have a registered version, I do not have to maintain two versions of the program any more, and its distribution can be via download from the website, not just by CD. CD versions will still be available, for a slightly higher price.
  • All fonts updated to Tahoma, if your computer has this font, to allow ClearType font smoothing on LCD screens - looks much better!
  • Improved sorting speed, so users with full In Boxes do not get such marked slowing in performance.

Update Version 1.60

  • A clash between In Practice Systems Vision software and ClikMemo meant occasional erroneous emergency messages were generated. That has been fixed by disabling the keyboard shortcut that activated the emergency button (alt-E). Alt-click or middle-click both still work.
  • Replying to a message now includes the text of the original message and the focus is in the correct place to just start typing.
  • The calendar now displays the next 3 months on startup, not the last 3 (it's taken me a year to work out how to do that!)
  • The login box is offset to the top left of the screen so it is not obscured by other splash screens/logins.
  • ClikMemo no longer enters the Maintenance Module on installation, if the shared mailbox folder already contains mailbox information.
  • The warning message you get on exiting ClikMemo now defaults to minimising the window so users are less likely to inadvertently shut ClikMemo down.

Update Version 1.40

  • Inspired by a letter in a recent edition of a GP magazine I have implemented an emergency button, which silently sends a message to every other ClikMemo user on the network that help is needed. How you use this feature is up to you, but in the context of the medical surgery where I work, the ability to summon help, either for a patient who has collapsed, or someone who is being threatening, is invaluable.

The Legal Bit

ClikMemo is shareware. You are entitled to use the software in its unregistered, 3-user form for as long as you like and distribute it to as many people as you like, free of charge. However the registered version (allowing up to 50 users and groups) is not to be distributed in any form, other than within a single local area network. You must not pass your registration details on to other users on other networks.

The program should not cause any problems when used as instructed, however I do not accept any liability for damage, either directly or indirectly caused by using this software.
