Using ClikMemo

General

  • We have internal e-mail, so why use ClikMemo?

On most networks using internal e-mail not all users or workstations will have access to it. Some PCs may be too old to run the latest version of Outlook efficiently and some members of staff may not be able to be given e-mail addresses. With ClikMemo all PCs can be connected

ClikMemo is much faster then ordinary e-mail. Users do not need to know e-mail addresses or manage contact directories

  • Is ClikMemo free?

In its unregistered state ClikMemo is free, but is restricted to 3 users and groups. You are welcome to copy and distribute ClikMemo without its registration details to as many people as you wish for free.

Registration costs £35 and unlocks ClikMemo to allow up to 50 users and groups. See the
    Registration page for details.

Installation

  • My PC is refusing to allow ClikMemo to install

This is sometimes due to a problem with the Visual Basic Runtime Files. Go to the Downloads page to download the latest files and install them before ClikMemo.

If you get the message that some system files need updating and your PC needs to reboot, then allow it to do so. If you still get the same message after rebooting and running clikmemosetup.exe again, then some other software is running and locking the files which are to be updated. Make sure all programs are closed. This problem is often caused by programs which run in the System Tray, down near the clock at the bottom-right - they can usually be closed by right-clicking on the program icon and selecting Close or Exit. If necessary press Ctrl-Alt-Delete and use the Task Manager to close all programs. Then try installing again.

  • How do I update to a newer version of ClikMemo?

If you have version 1.74 or later then simply download the latest patch from the Downloads page and run it on each of your workstations.

If you are upgrading from a version prior to 1.74 then you need to do a complete new install. Download the new version from the
Downloads page. Before installing it you should first exit ClikMemo and uninstall the old version using the Add/Remove Programs applet in the Control Panel. Then run the new clikmemosetup.exe file to install the new version. Your users, groups, registration status and messages will be unaffected by this reinstallation process

  • Can I run different versions of ClikMemo on the one network?

Yes, this will cause no problems. Each new version of ClikMemo is designed to be backwards compatible with previous versions.

  • Where should the Mailbox Folder go?

This is really a decision for the Network Administrator. The folder has to be accessible to all users and allow all users to create and delete files and folders. On our work network the folder is on the main server share mapped to drive F: on each workstation. The folder is called ClikMemo (ie: the path entered into ClikMemo is F:\ClikMemo)

  • We don’t use mapped drives

This is not a problem as ClikMemo happily accepts UNC paths. We use this method on our home network: The main PC is called ‘desktop’ and has a shared folder called ‘clikmemo’. The other PCs on the network access the folder using the path \\desktop\clikmemo

  • I entered the wrong mailbox path and now I can’t change it

You need to delete the settings.dat file. You will find the file in C:\program files\clikmemo\ if you accepted the default installation settings. Simply use Windows Explorer to delete this file. ClikMemo will then ask for the Mailbox location when next restarted

  • We use Terminal Server. Can ClikMemo run on this?

See the Installation and Download page for information on this, but the answer is yes.

Using ClikMemo

  • ClikMemo gives errors on starting up, or seems to have lost the Mailbox

This happens when the settings.dat file gets corrupted. You will find the file in C:\program files\clikmemo\ if you accepted the default installation settings. Simply use Windows Explorer to delete this file. ClikMemo will then ask for the Mailbox location when next restarted

  • How do I forward a message?

Click the Reply button and then the Clear Recipient List button. Then you can select your recipients in the usual way.

  • How do I keep a copy of a message I am sending?

Put yourself in the recipient list.

  • How do I find a particular message in the archive document?

Use your word processor’s Find facility (usually on the Edit menu) to search for key words. More recently archived messages will be near the top of the document. It is generally easier to find a particular message in the achive document than in the In Box of ClikMemo, as ClikMemo has no search facility (although we hope to implement that soon).

  • My archive document is corrupted and I can’t view it

You can find the document in your subfolder within the Mailbox folder. It is called archive.rtf. If it won’t open in your wordprocessor then try opening it in Notepad - the easiest way to do this is to rename it to archive.txt. There will be alot of formatting information but you should be able to find the text of your messages and copy and paste them to another document if you wish. ClikMemo will create a new archive.rtf file the next time you do an archive.

You may also find a document called archive2.rtf in your mailbox folder. This is the backup copy that ClikMemo creates each time you view the archive. You may find that this file is viewable. If so, load it into your word processor and save it with a new name and in a folder of your choice.

  • My archive document is getting too large

Save the document with a new name, and in a folder of your choice, from within your word processor. Close the word processor and click Delete Archive in the Archive Messages dialog. ClikMemo will create a new archive.rtf file the next time you do an archive.

  • We get ‘Run time error 6 - overflow’ or ‘Run time error 9 - subscript out of range’ errors

There is an intermittent bug in the calendar which can generate these errors. This will be fixed in the next update release, but in the meantime you can either delete the file calendar.dat in your shared mailbox folder, and restart ClikMemo and re-enter the calendar data. Alternatively, if you don’t want to lose any calendar data you can e-mail me the calendar.dat file and I will attempt to repair it.

  • I have difficulty adding appointments or notice entries

Make sure you remember before adding any new entries in the Edit Calendar window that you click on the New or Add buttons first. If you don’t do this then you are not adding a new entry, you are editing an existing one. Your new entry is not added until you click on the Enter or Set buttons.

  • ClikMemo keeps forgetting where the mailbox folder is after the computer is restarted

This seems to be a problem on some PCs running Windows XP, and is caused by ClikMemo starting before drive mappings have been set (usually by a login.bat file). This problem is solved in version 1.75 of ClikMemo so simply upgrade to the latest version to stop this bug. Alternatively you could try either of the following:

    • On the affected PCs use a UNC path to define where the mailbox folder is. For instance if drive P: is mapped to \\server\vision\data and your mailbox folder is usually defined as P:\clikmemo then the UNC path for the mailbox folder would be \\server\vision\data\clikmemo. To force ClikMemo to ask you for the mailbox folder address, delete the settings.dat file and restart ClikMemo

    • Use a program such as Jackass Joe’s Startright to take control of the Startup folder and force programs to execute in a particular sequence, one after another. Put ClikMemo at the end of the sequence and your problem should be solved.
